The CONTRACT FESTIVAL PRODUCER plays a critical role in envisioning the path to the festival, guiding the staff, managing the workflow, and anticipating needs in order to meet with expectations throughout the execution of the festival. The Festival Producer will work collaboratively with all departments and key stakeholders in ensuring the overall success of our event. SeriesFest is a 501c3 nonprofit organization based in Denver, Colorado that annually produces SeriesFest, to take place May 1-5, 2024. This year will be our 10 year anniversary!

DUTIES & TASKS
Essential duties and responsibilities include, but are not limited to the following:
- Event Planning, Coordination, Logistics, and Execution
- Envision how to build upon past success in conjunction with the CEO.
- Work with various departments to best understand, organize, and execute objectives, workflow, and timelines.
- Recognize, embrace, and take responsibility for the overall festival operations. This requires the creation of systems, usage of the Airtable database, multitasking, meeting tight deadlines, problem solving on the fly and necessary delegation of tasks.
- Oversee all festival areas including Tech, Ops, Special Events, Guest Relations, Transportation, Volunteers, Passes and Ticketing to directly establish workflow, task management, support systems, and accountability to ensure all objectives, goals and timeframes are met.
- Collaborate and work with SeriesFest heads of Departments (Admin, Programming, Marketing, Development, PR and Education) at their points of intersection with festival operations.
- Work closely with SeriesFest partner Denver Film and their staff to ensure smooth on site execution in our main venue, the Sie FilmCenter.
- Work closely and collaboratively with teams across the organization to translate vision into strategy through actionable goals, and in turn ensure efficiencies and timely implementation of all operational objectives. Identify, dissect and resolve issues across all departments.
- Coordinate with venues, vendors, and partners to ensure smooth operations and communicate festival needs.
- Recognize the artistic vision of the Festival and SeriesFest organizational goals in all public facing elements of the festival.
- Set and manage operational calendar
- Include DEIA thinking in all aspects of planning and execution. Ensure that SeriesFest operates an environment that is inclusive and in which all feel safe.
- Troubleshoot and address any issues that may arise before, during, and after the festival.
- Like all SeriesFest staffers, work in support of individuals, departments and the overall organization in the pursuit of success.
- Team Management
- Build and lead the team of festival contractors.
- Hire needed festival contract staff. Includes creating job descriptions, interviewing, and onboarding.
- Set forth all contractor details and deal points for the Office Administrator to enact contractor onboarding packages. Support the return receipt of documents and the immersion of contractors into the organization.
- Delegate tasks and responsibilities, ensuring clear communication and accountability.
- Oversee volunteer requests and ensure needs are covered in conjunction with the volunteer coordinator.
- Budget Management
- Support the organization and the management of festival related budget line items. Impart upon all festival staff the importance of budget related systems and accountability around usage of funds.
- Negotiate contracts with contract staff, vendors and venues to optimize resources.
- Distribute, manage, and track usage of petty cash for all departments.
- Post-Festival
- Ensure all data/materials are properly dispositioned post festival from all departments.
- Close out festival related items in a timely manner. Items include, but are not limited to: labeling/storage of all items, tracking and payment of all hourly employees, gathering and payment of all invoices, re-sharing of wrap report form, petty cash reconciliation, thank you notes, organization of all working docs, set up of post festival meetings, dispositioning of all content, close out of SeriesFest resources used by contractors, etc.
- Identify areas for improvement and propose recommendations for future festivals
DATES & PAY
- Role begins part-time Jan-Feb 15, is full time Feb 16 – May 10 and goes back to part time May 11-31
- 20K
