DESCRIPTION

SeriesFest is a 501c3 nonprofit organization based in Denver, Colorado that annually produces SeriesFest, to take place May 6-10, 2026. This year marks the 12th year of the Festival. The Festival Sponsorship Coordinator will support the Director of Partnerships in all aspects of sponsor fulfillment and execution, as well as the management of all sponsor and partner deliverables.

General

  • Contract role, scheduled Monday through Friday, with some weekend(s) and evenings required
  • Denver-based position (hybrid remote and in-office schedule)
  • Event experience required
  • Sponsorship activation experience preferred
  • Proactive in action and communication
  • Ability to work autonomously with SeriesFest staff and contractors
  • Strong verbal and written communication skills to support the expected “customer service” level delivered by SeriesFest in support of our partners and sponsors
  • Works with all departments including, but not limited to marketing, programming, special events, ticketing and operations to ensure the smooth flow of the development-related data into their hands to help shape their execution of festival elements
  • Knowledge of database management or quick study in CRM software desired
  • Canva and Airtable knowledge and usage a plus

 

Sponsorship Activation: Administrative

  • Maintain development department files, contact lists and records of existing sponsors
  • Schedule and participate in or run weekly recurring activation calls with individual sponsors, including the presentation of deadline calendars and weekly updates
  • Work cooperatively with ticketing and credential departments, and communicate hospitality/ticketing benefits to sponsors and high-level partners/board members
  • Work with Marketing on fulfillment of media assets for sponsorship inclusion
  • Work with Marketing on implementation of sponsor social calendar
  • Collect and record sponsor assets (logos, content, etc.) into Airtable database
  • Outreach to local businesses and restaurants for in-kind donations to cover needs for staff, volunteers and receptions, as needed
  • Work with Operations/Production/Special Events on all physical aspects of activation at live events and festival venues, e.g. signage, sponsor branding, pouring rights, invitations, etc.
  • Work with Operations, Programming and Marketing to ensure sponsors are represented on all program-focused events including panels and screenings
  • Research and outreach to new, potential local in-kind sponsors
  • Compile information in real-time for post-festival analysis/recapping

 

Development Activation: Onsite

    • Present for load-in and load-out of predetermined sponsored/sponsor events
    • Onsite point of contact for select sponsored/sponsor events during the festival
    • Sponsorship liaison among departments for all events with sponsor representation
    • Onsite support with ticketing and pass fulfillment for sponsors and high-end donors
  • Coordinate delivery of sponsor-branded items and volunteers to assemble gift bags
  • Other duties, as assigned
